Privacy Policy

1. Information Collected

When registering for and using the Portal, the following personal and business information is collected directly from you:

• Full name
• Business name
• Email address
• Phone number
• Registered Motor Vehicle Trader (RMVT) number
• Physical business address
• Vehicle listings, images, and related descriptions uploaded
• Payment information (if applicable, e.g., for subscription payments)
• Any additional information voluntarily provided through the registration form or in communications with Motor Connect Limited

2. How Information is Collected

Information is collected only through:

• The Portal registration sign-up form completed when creating an account
• Information provided when updating an account or contacting Motor Connect Limited by email or phone
• Details entered when uploading vehicle listings or images

No information is collected automatically through cookies, tracking tools, or analytics software.

3. Purpose of Collecting Information

Personal information is collected and used for the following purposes:

1. Verification – To confirm that the user is a registered motor vehicle trader in New Zealand and eligible to use the Portal.
2. Account Management – To create, maintain, and administer user accounts.
3. Service Delivery – To enable the creation, viewing, and response to vehicle listings within the Portal.
4. Customer Support – To respond to inquiries, troubleshoot issues, and provide assistance.
5. Optional Marketing – To send updates, news, or promotional offers only if the user has opted in to receive such communications.
6. Advertising & Insights – Motor Connect may also use non-identifiable business information (such as dealership location or listing activity) to provide targeted advertising or promotional opportunities within the Portal. No personal information will be shared with third parties for this purpose.

Motor Connect Limited does not sell, rent, trade, or otherwise share personal information with third parties for marketing purposes.

4. Data Storage & Security

• All personal information is stored securely on Digital Ocean servers.
• Personal information may be stored on servers located outside New Zealand. By using the Portal, you consent to this overseas storage, which will be subject to comparable safeguards under the Privacy Act 2020.
• Access to personal information is restricted to authorised Motor Connect Limited personnel who require it to perform their job functions.
• Reasonable steps are taken to protect data from unauthorised access, alteration, disclosure, or destruction. These steps include secure password practices, restricted system access, and industry-standard data protection measures.
• While reasonable precautions are taken to protect information, no method of storage or transmission over the internet is completely secure. Information is provided at the user’s own risk.

5. Cookies & Tracking

The Portal does not use cookies (for the purpose of tracking), tracking pixels, Google Analytics, or any other automated data collection tools.

6. Data Retention

• Personal information will be retained for the duration of your account or subscription and up to six (6) months after closure, unless a longer period is legally required.
• Once the retention period ends, personal information will be securely deleted.

7. Dealer Responsibility for Information

• Dealers acknowledge that information shared on the Portal (such as business contact details in listings) may be visible to other verified dealers.
• Motor Connect is not responsible for how other dealers use or act upon that information.
• Users must use any information obtained through the Portal only for legitimate trading purposes and in good faith.

8. Breach Notification

In the event of a privacy breach that is likely to cause serious harm, Motor Connect will notify the New Zealand Privacy Commissioner and affected users in accordance with the Privacy Act 2020.

9. Access, Correction & User Rights

Under the Privacy Act 2020, users have the right to:

• Request access to the personal information held about them, and
• Request correction of any incorrect or outdated personal information.

10. New Zealand Users Only

The Motor Connect portal is intended solely for use by registered motor vehicle traders in New Zealand. Services are not offered to individuals or businesses based outside New Zealand.

11. Changes to This Privacy Policy

Motor Connect Limited reserves the right to update or modify this Privacy Policy at any time. If significant changes are made, notification will be provided via email (if an email address has been supplied) or by posting a prominent notice on the Portal. Changes take effect immediately upon posting, unless stated otherwise.
